How to Set Up a Spot-Limited Special Event (Ex. Halloween Party with 50 tickets)
Scenario: You’re hosting a Halloween party and want to limit attendance to 50 guests.
-
The event is on a specific date (Ex. October 25).
Spots are limited (Ex. max 50 guests)
-
Regular day passes should be unavailable that day.
Quick summary
Create an event-type product, set the total spots to your ticket limit, assign a single time block for the event, and block the same date on your regular passes.
1. Set up your event details
-
Go to Products > Add New Product > Event-Type Product.
Event-type products are the only product type that allow you to limit total tickets sold for a single event.
Under Availability, set your Event Settings:
-
Total Spots Available: Enter the total number of tickets you want to sell (for example, 50).
-
Credential Type: Choose the credential you want delivered to customers upon purchase.
-
Access Control Group: Select your Special Events access control group so doors can open automatically for attendees during the event.
2. Add the event time block
- Under Availability, go to Available Time Blocks.
- Note: You’ll need to know what day of the week your event falls on.
- Ex. If your event is on October 25, check a calendar to see what day that is (e.g., Saturday).
- Click Add Timeslot and create a time block only for that day of the week.
- Customers must select this time block when purchasing their ticket.
- If no time block is set for the correct day, the Add to Cart button won’t appear.
- Ex. Add a time block from 10 AM to 6 PM on Saturday.
3. Adjust the calendar range
Event-type products were originally designed for recurring sessions like classes or camps, so to make your one-time event appear correctly:
-
Go to Calendar Settings.
-
Set the Start Product Calendar Date to one day before your event.
-
Set the End Product Calendar Date to one day after your event.
For example:
-
Start Date: 10/24
-
End Date: 10/26
This ensures the event appears only once instead of showing up weekly.
4. Prevent regular passes from being sold that day
If you don’t want customers buying regular day passes on your event date:
-
Go to your Day Pass Product > Calendar > Edit Calendar.
-
Scroll to Product Calendar Restrictions.
-
Under Specific Dates Blocked from Calendar, click the green plus (+) and select your event date (Ex. October 25).
This ensures only event tickets can be purchased that day.
5. (Optional) Add a note to your other products
You can direct customers to your special event from your regular product pages.
Add a short note to your other product's page content, such as:
“We’re having a special event on October 25! To join the fun, purchase your event ticket [here](link to your Halloween event).”
6. Enable the product
Once your setup looks correct, enable the product so it appears on your customer-facing site.
