How to Give Your Staff Access

Giving your staff members unlimited access to your facility is done through your Brivo account, not your Rhōmb account.

You have two options for setting up staff access:


Option 1: One Shared Staff User

You can create a single user in Brivo that all staff members share.
All staff will use the same PIN code to enter the facility.

Pros: Simple to manage
Cons: Does not track which individual staff member accessed the facility


To Set This Up

  1. Log in to your Brivo account.

  2. Open the left-hand sidebar and go to Users.

  3. Under User Management, click Users.

  4. Once the Users window opens, click the blue Create New User button in the top right. You’ll see three sections to set up a new user: ProfileGroups, and Credentials.


Profile Section

  1. In First Name, enter your company name (for example: Funland).

  2. In Last Name, enter STAFF.



Groups Section

  1. Click Assign to Group.

  2. Select the group named STAFF.

Note: By default, the STAFF group is assigned to a 24/7 access schedule.
To change Staff access hours, edit the schedule attached to the STAFF group (see Brivo Schedules).




Credentials Section

  1. Click Assign Credential.

  2. Select PIN.

  3. Either type in a PIN (for example: your building number) or click Generate PIN to create one automatically. (Optional) Adjust the PIN length if you'd like.

Important: After assigning the credential, Brivo will not show the full PIN again. Be sure to write it down or save it before closing.




  1. Click Create User in the bottom right to finish. Share this PIN with all of your staff members. They will use this PIN to enter the facility.

    1. If you ever need to change the PIN code, delete the current PIN credential by clicking the X next to it and assign a new one.


Option 2: Individual Staff Users

You can also give each staff member their own PIN code.
This option provides individual tracking of who accessed the facility and when.

Pros: Tracks access by individual staff member
Cons: Slightly more setup required


To Set This Up

  1. Log in to your Brivo account.

  2. Open the left-hand sidebar and go to Users.

  3. Under User Management, click Users.

  4. Click Create New User in the top right corner.
    You’ll see three sections: ProfileGroups, and Credentials.


Profile Section

  1. Enter the staff member’s first and last name.


Groups Section

  1. Click Assign to Group.

  2. Select the group named STAFF (All Access).
    This group gives staff members unlimited access to your facility.


Credentials Section

  1. Click Assign Credential.

  2. Select PIN.

  3. Either type in a PIN for the staff member or click Generate PIN to create one automatically (Optional) Adjust the PIN length if desired.

Important: Brivo will not show the full PIN again after it’s created.
Be sure to write it down or save it before closing.


  1. Click Create User to save.

Once saved, the staff member can use their PIN to enter the facility at any time.

If you ever need to update their access or PIN, edit the user record under Users in your Brivo account.
